Acceptable Use Policy

1. Purpose
This Acceptable Use Policy ("AUP") sets out the rules and standards for operating robots rented through roboTED, operated by Wartens Ltd. All Hirers and operators must comply with this policy throughout the rental period. Failure to do so may result in immediate termination of the rental, forfeiture of the damage deposit, and liability for any resulting costs.
2. Safety Requirements
- The robot must be operated in a safe, controlled environment suitable for its type and classification.
- A clear operating area must be maintained around the robot at all times. Minimum clearances specified in the robot's operating manual must be observed.
- The robot must not be used outdoors unless it is specifically rated and approved for outdoor use.
- The robot must not be operated near water, extreme temperatures, or hazardous materials unless specifically designed for such environments.
- Emergency stop procedures must be understood by all operators before the robot is switched on.
- Adequate risk assessments must be carried out by the Hirer before deploying the robot, in accordance with the Health and Safety at Work etc. Act 1974 and relevant HSE guidelines.
- The robot must not be left unattended while powered on unless it is designed for autonomous unattended operation.
- Children and members of the public must be supervised at all times when a robot is operational.
3. Prohibited Modifications
The following actions are strictly prohibited:
- Disassembling, opening, or tampering with the robot's hardware, casing, or internal components.
- Installing, removing, or modifying any software, firmware, or operating system on the robot.
- Attaching, welding, gluing, or otherwise affixing any additional parts, accessories, or equipment not provided by roboTED.
- Altering the robot's physical appearance, including applying paint, stickers, or wraps (unless expressly authorised in writing).
- Overriding, bypassing, or disabling any safety mechanisms, sensors, or emergency stop features.
- Connecting the robot to unauthorised networks, systems, or third-party integrations without roboTED's consent.
- Attempting to reverse-engineer, clone, or extract proprietary technology from the robot.
4. Operator Requirements
- All operators must be at least 18 years of age.
- All operators must complete the roboTED operator training session (provided at delivery or via our online portal) before operating the robot.
- The Hirer must maintain a log of all individuals authorised to operate the robot and make this available to roboTED upon request.
- Operators must not be under the influence of alcohol or drugs while operating the robot.
- The Hirer must designate a primary contact person who is responsible for the robot throughout the rental period and reachable by roboTED at all times.
5. Prohibited Uses
The robot must not be used for:
- Any unlawful, illegal, or criminal activity.
- Surveillance, recording, or monitoring of individuals without their knowledge and consent (in accordance with UK law).
- Any activity that could cause harm, injury, or distress to people or animals.
- Carrying, transporting, or interacting with weapons, hazardous materials, or controlled substances.
- Any purpose not disclosed in the booking confirmation without prior written approval from roboTED.
6. Reporting Incidents
Any incidents, accidents, malfunctions, or near-misses must be reported to roboTED immediately at hello@roboted.io or via our 24/7 support line. Failure to report incidents may result in additional liability for the Hirer.
7. Breach of This Policy
Breach of this Acceptable Use Policy may result in:
- Immediate termination of the rental without refund.
- Forfeiture of the damage deposit.
- The Hirer being liable for any repair, replacement, or third-party costs arising from the breach.
- The Hirer being banned from future rentals on the roboTED platform.
- Referral to the appropriate authorities where unlawful activity is suspected.
